ICTP Administration

The Administrative staff and offices are located at the Enrico Fermi Buiding.

The main function of the Administration is to provide ICTP scientists and visitors with the best services to support their activities at the Centre. The Administrative staff is highly committed to this goal.

Activities of the administrative staff include: Financial Planning of the Centre, General Services (including the management of Adriatico and Galileo guest houses, medical services, housing and visa office), the procurement of all goods and services requested, arrangements required in relation to the Centre's programme activities, personnel policies and management, and the administrative computer systems.

Supervision of all administrative aspects of planning and execution of the Centre's activities, and assistance to the Directorate in the planning and evaluation of these activities are the responsibilities of the Director, Administration: Dag Harald Johannessen.

Accommodation, Catering and Guest House Services

This section is responsible for Accommodation Services, Guest House Management and Catering Services at ICTP. This includes: Housing services, Private Accommodation, Reception services, hospitality functions, and external Catering Services for the two Cafeterias and Bars. Management of the Adriatico and Galileo Guest Houses and maintenance of these buildings.

This Office is headed by Dora Photiou

Budget and Finance

This section is responsible for budget and finance services at the Centre, which include: preparation, implementation and control of the annual budget; accounting (book-keeping and reporting); treasury (payments and receipts; cash flows; investment of funds); travels; external banking and travel agency.

This Office is headed by Andrej Michelcich.

Medical Service

ICTP's Medical Service and infirmary ensures medical assistance (advice and guidance) and first aid to all persons on campus which includes scientific and administrative staff plus visiting scientists. Visitors may request consultations with the Doctor for which a fee is charged. This fee will normally be reimbursed through the visitors' health insurance. For medical problems of a more complex nature that necessitate specialized assistance, the Medical Service provides advice on specialists, laboratories and hospitals, located in Trieste, which work in cooperation with the ICTP Medical Service. The Medical Service also takes care of its own administrative matters. Each year, the Medical Service handles some 5.000 contacts or visits. The Service is manned by one full-time and two part-time nurses in addition to a part-time medical doctor.

The Supervisor is Mara Chiandotto.

Personnel Office

The Personnel Office of ICTP, besides ensuring adherence to UNESCO and, as appropriate, to IAEA Staff Regulations and Rules, maintains the personal and work data of the staff and consultants. The office provides the staff with information on personnel matters and procedures, keeps an overview of the staffing situation at the Centre, and processes and assists in recruitment procedures. It also provides assistance to the staff regarding Health and Pension Insurance Schemes and other staff entitlements.

The Office is responsible for the administration of the payroll and leave data, as well as the time and attendance system used at the Centre.

ICTP's Personnel Assistant is Adriano Lucatello.

Publications and Printing Services

The Publications Office handles the write-ups of research carried out by ICTP visitors and scientific staff. These works are prepared in the form of preprints and internal reports. The ICTP Lecture Notes Series (LNS), which contains pedagogical material presented at ICTP during the various workshops, conferences, etc., is also managed by the office. These documents are available in print format as well as on-line. The office is also responsible for some web-related tasks regarding the institutional web site. Graphic designers are present for the preparation of posters, leaflets, brochures, books, etc. Editorial support to scientific staff and administrative staff for the preparation of the above is provided. A new database to manage the official ICTP Central mailing list has been created and is maintained by the office. Master CD/DVDs on various topics are produced, and copies are made upon request. The Print Shop prints lecture notes for ongoing activities, posters, books, brochures, leaflets, and many other documents. Bulk dispatching of posters to advertise ICTP activities and programmes, and News from ICTP issues, are done on a regular basis.

The Supervisor is Dilys Grilli.

Security and Administrative Services

This section is responsible for the administrative and general services and also the field and campus security as well as safety at ICTP.

The areas include visa and permits of stay, procurement, transportation and security, technical office and safety measures, technical services and maintenance of the office and lab buildings, mail and archives, and the provision of legal advice to ICTP management.

The Head of this section is Erich Albert Jost.
